Projects in the Agency for Governmental IT Services

Print Friendly, PDF & Email

IT projects within the government have to follow the government IT-project model. This ensures a better foundation for projects and thereby more successful execution. However, this also demands time, resources and thorough project competencies. Peak’s consultants both advise and execute on all phases of the model.

The government IT-project model is an obligatory project model, that ensures a common framework for all state IT-projects regardless of budget. The model is defined by the Agency for Governmental IT Services, based on PRINCE2® and contains a phase-model as well as administrative documents and guides for their application. The goal is to help the authorities identify benefits, handle risks, and not least complete the project successfully. These administrative documents must be used throughout the entire project and updated as the project develops or changes. Furthermore, a specific requirement regarding risk assessment applies with the Agency for Governmental IT Services to projects exceeding 15. Million or acquisitions exceeding 70. Million., as well as a biannual status report and follow-up on benefits.

What are the benefits of external counselling?

The IT-project model is an excellent tool to use throughout the entire project. Still, it requires resources and experiences to navigate. Particularly if your project has to undergo a risk assessment with the Agency for Governmental IT Services, extern help can have benefits:

  • A structured approach to working with the model
  •  Management of the process leading up to a potential risk assessment
  • Released resources through professional document management

Our approach

The project model is staged according to PRINCE2® and it is primarily on the basis of these phases that we plan our counselling. However, the plan for an IT project is rarely set in stone, and like the model itself, we focus on flexibility in the planning of the individual sub-phases and flow of deliverables. We help with for example:

Analysis

The project foundation and steering committee agreement is formulated. At the same time, the size of the project, resource needs, expenses, risks, timeline and benefits are analyzed, and a business case has is developed. The project takes shape.

Risk assessment

If the project costs exceed 15 million DKK or if we are dealing with acquisitions exceeding 70 million DKK, it has to undergo a risk assessment with the Agency for Governmental IT Services. Furthermore, after the risk assessment, a biannual status report from the project must be made.

Business Case model

One of the mandatory management documents is the government’s business case model. The purpose is to make the benefits of the project clear by calculating both costs and benefits and clarifying potential risks.

Execution

The actual project is developed and transferred to the business. Here, the focus is getting the deliverables through on time, keeping within the project plan and completing the project.

Realisation

The project is finished and has to be transferred to operation. Here, the focus must be on anchoring the new in the organization and following up on the benefits the project has to provide.
